It is more realistic to prevent errors by tying the process to rules than by raising the technical knowledge of purchasing. The technical department fills in the request, purchasing works only with the model code and values on the form, and any quote that departs from the form goes back for technical approval.

DRG-90L-2K 3 kW 3000 rpm cast iron frame DRG three-phase motor – preventing motor ordering errors

Mandatory fields on the request form

The technical department fills in the form, and no field may be left blank: machine name and location, kW, speed, frame material, mounting arrangement, shaft diameter, supply voltage, quantity. Even adding a box underneath asking “has a nameplate photo of the old motor been attached?” catches many omissions. The form becomes a reference that purchasing cannot alter while collecting quotes.

Three rules for purchasing

  1. No order without a model code: No order is opened with a general description such as “11 kW motor”; the quote is tied to a model code.
  2. Changes go through the technical department: If the supplier proposes a different frame, a different material or an “equivalent”, purchasing does not accept it on its own.
  3. Written confirmation: The model code, voltage and quantity are repeated in the supplier's written order confirmation; verbal approval does not count.

A simple check example

If the form says “5.5 kW, 1500 rpm, cast iron, foot-mounted, 38 mm shaft”, purchasing sees that the quoted DRG-132S-4-GG record has a 38×80 mm shaft and ticks the line. A quote for DRG-112M-4K-AL of the same power, however, departs from the form on two points with its 28 mm shaft and aluminium frame, so it is sent back to the technical department. Purchasing does not need to make a technical judgement here; it simply compares two lines.

Support tools

When a value remains uncertain for the technical department, the motor selection wizard makes the first narrowing down; the final decision is still based on the motor nameplate and the machine data. If it turns out after delivery that the wrong power or speed was chosen, an exchange for a suitable model is possible provided the motor is unused and meets the return conditions; but this route means lost time and freight cost.

You can match the values on the form with product records such as the 5.5 kW 132S cast iron model page or with the dimension information in the motor store.
