Keep a one-page card for each motor: model code, serial number, invoice or delivery note details, the machine it drives, mounting arrangement and drive details. With this card, a reorder takes a single message; without it, the motor may have to be removed and measured again.

What the card should contain
| Information | Where it comes from | What it is for |
|---|---|---|
| Full model code | Order confirmation and nameplate | Requesting the same model |
| Serial number | Nameplate | Warranty claims and record matching |
| Invoice / delivery note no., order code | Accounts | Finding the previous purchase |
| Machine and position | Maintenance record | Where the motor runs |
| Mounting, shaft D×E, H | Product record, measurement | Keeping the connection unchanged |
| Pulley diameter or coupling type | Site measurement | Rebuilding the drive as it was |
Photos and changes made on site
A nameplate photo taken while the motor was new becomes the most valuable record once the plate gets dirty or painted over. Also add a photo showing the motor's position on the machine, the terminal box orientation and the cable entry. If the pulley was changed, the base corrected or a drive added after installation, write that on the card too; otherwise buying the same motor and rebuilding the old arrangement may not give the expected result.
Keeping the card up to date
If a motor was sent for rewinding after a failure, note it; the values of a rewound motor may differ from those on the plate, and for a repeat purchase the card, not the nameplate, should serve as the reference. Example: if, for a pump using the 11 kW 3000 rpm DRG-160M1-2-GG model, the card shows the shaft as 42×110 mm and the shaft height as 160 mm, it takes a few seconds to check that these values are the same in the new motor's product record.
The same record serves the warranty
A warranty claim requires the model and serial number together with the invoice or delivery note. Keeping the card with these documents speeds up both the warranty process and the new purchase in the event of a failure; the conditions are on the warranty certificate page.
You can start a reorder by matching the model code on your card with records such as the 11 kW 160M1 cast iron product page or with the list in the three-phase motor store.
